What is Incorta Workflows?

Incorta Workflow is a powerful framework designed to extend Incorta's capabilities and create tailored applications within your Incorta environment. It comprises three core elements:

  • Workflow Server — The foundation for building and running custom applications.
  • SDK Components — UI elements that integrate directly into Incorta Dashboards, such as the Writeback component and Scheduler component.
  • REST APIs — Enable secure communication between SDK Components, the Workflow Server, and Incorta itself, ensuring smooth data flow across the stack.

Incorta has already built two production-ready applications on top of this framework — the Scheduler App and the Writeback App — both of which are available to customers today. These apps are continuously enhanced based on customer feedback, and as new use cases emerge from the field, we continue to expand what's possible with Incorta Workflow.

Use Case 1: Automated Sales Performance Reporting for a Global Retailer

The challenge

A large global retail company relied on Incorta for business analytics but struggled with the manual effort of distributing personalized sales performance reports to hundreds of regional and store managers worldwide. Generating and sending customized reports on daily, weekly, and monthly cadences was time-consuming, error-prone, and difficult to scale.

The solution

The company implemented the Incorta Workflow Scheduler App to automate and personalize their entire reporting workflow.

Comprehensive report book creation Using the Scheduler App, the team assembled a single report book containing hundreds of PDF pages — including a branded cover page with the company logo and report title, followed by detailed sales metrics, regional breakdowns, product performance data, and trend analyses.

Intelligent slicing and filtering To ensure each recipient received only relevant data:

  • Prompt filter slicing segmented the report book by assigned geographic region (e.g., North America, EMEA, APAC).
  • Bookmark slicing surfaced each store's specific performance data within the larger report book — delivering a personalized view without generating a separate report per location.

Automated report bursting The Scheduler App distributed the finalized PDF report books automatically to hundreds of executives and managers via email, eliminating the need for manual sends.

Dynamic scheduling Daily reports were triggered after the nightly Incorta data refresh completed, ensuring recipients always received the most current data. Weekly reports were scheduled for Monday mornings, giving sales leadership a full overview before the week began.

Delivery and logging Each email delivery included dynamically generated cover pages based on applied filters, with customizable email layouts and delivery methods. The analytics team relied on detailed schedule logs to monitor delivery success, audit report distribution, and troubleshoot any issues — a critical capability for compliance and data governance.

The outcome

By automating report generation and distribution through the Incorta Workflow Scheduler App, the company significantly reduced manual effort, improved report accuracy, and gave their sales force timely and personalized data. The result was faster decision-making and measurable improvements in sales efficiency.


Use Case 2: Scalable Fleet Report Distribution from IoT Data

The challenge

A leading U.S. infrastructure services corporation operates a nationwide fleet of vehicles equipped with IoT sensors, generating telemetry and operational data continuously across electric power, pipeline, industrial, and communications sectors. With thousands of vehicles producing vast data volumes daily, the organization needed a scalable way to:

  • Aggregate IoT data into actionable insights
  • Visualize performance metrics at national, regional, and local levels
  • Automatically deliver tailored reports to multiple management tiers — from field supervisors to executive leadership

Manual report generation and static dashboards were no longer sufficient to meet growing demands for real-time visibility and role-appropriate insights.

The solution

The company combined Incorta for data modeling and visualization with the Incorta Workflow Scheduler App to automate and personalize report delivery across its entire management hierarchy.

1. Data ingestion and modeling IoT telemetry from thousands of vehicles was collected and prepared in the company's data warehouse, then ingested into Incorta. Key metrics — including engine hours, fuel usage, idle time, route efficiency, and geolocation data — were modeled for dashboard consumption.

2. Dashboard design A single Incorta dashboard was built to serve the entire organization, containing real-time KPIs (e.g., vehicle utilization, average route efficiency), aggregated fleet summary tables by region, dynamic charts, and prompt filters for parameterized slicing.

3. Bookmark filters for role-based views Bookmark filters were created to represent different organizational slices — East/West regions, operational divisions, and individual managers' areas of responsibility. Each bookmark was mapped to a corresponding list of users in the management hierarchy.

4. Automated report bursting The Incorta Workflow Scheduler App was configured to dynamically generate hundreds of personalized reports from the single dashboard — one per bookmark filter — and automatically identify the right recipients for each view via dynamic recipient selection. Reports were delivered by email on a weekly schedule, with flexibility for monthly or ad hoc triggers. Detailed logging and audit trails were captured for all scheduled jobs.

The outcome

  • Scalable distribution — Replaced dozens of manual reports with a single automated solution capable of generating and distributing personalized views at scale.
  • Role-based insights — Each tier of management received exactly the data relevant to their scope, improving oversight and decision quality.
  • Operational efficiency — Substantially reduced the time analysts and IT teams spent managing report workflows.
  • Future-proof framework — The scheduling engine accommodates organizational changes, new bookmarks, or expanded reporting needs without requiring dashboard redesign.

Use Case 3: Streamlining Inventory Order Management with Writeback

The challenge

A company managing inventory orders found their existing process disjointed and difficult to scale. Customers who needed to make changes to orders had to contact an agent by phone or email, causing delays and a poor experience. Agents had no real-time visibility into pending changes, and there was no single source of truth for order and inventory data — making it difficult to reconcile inventory counts with in-flight orders or accurately predict shipping timelines.

The solution

The company deployed Incorta Analytics with the Incorta Workflow Writeback App to create a seamless, end-to-end order management solution.

Real-time data visibility Incorta's direct data mapping ingested data from the order management system, inventory database, and customer portal into a unified platform — providing a single, real-time view of orders, inventory levels, and customer activity.

Customer-facing dashboards with row-level security Incorta dashboards were embedded directly into the customer portal. Using row-level security, each customer logged in and saw only their own orders, delivering a personalized and secure self-service experience.

Interactive write-back functionality The customer-facing dashboard was more than a read-only view. Using the Writeback component, customers could directly update order quantities and other fields from within the dashboard — no agent contact required.

Automated agent workflow When a customer submitted a change, the transaction was immediately frozen and queued for agent review. Agents accessed a separate dashboard showing all pending customer changes alongside original order details and current inventory levels. With a single selection, agents could approve the updated order.

The outcome

  • Improved customer experience — Customers can manage their own orders online without contacting support, driving higher satisfaction scores.
  • Increased agent efficiency — Agents spend less time on back-and-forth communication and have a streamlined workflow for reviewing and approving updates, freeing capacity for higher-value activities.
  • Accurate inventory management — Real-time visibility into pending and completed transactions reduced shipping errors and improved order fulfillment reliability.

Use Case 4: Sales Pipeline Collaboration and Forecast Review

The challenge

Sales leadership at a company conducts weekly pipeline review meetings where teams evaluate new and existing opportunities across key forecast metrics — opportunity value, expected revenue, closing probability, forecasted close date, and upside/downside potential. While source data originates in the CRM, sales teams frequently refine forecasts based on account insights, customer engagement, deal progress, and regional market conditions.

Before adopting Incorta, the process had several structural inefficiencies:

  • Manual forecast adjustments — Teams updated numbers in spreadsheets outside the CRM, making a single source of truth impossible to maintain.
  • Static snapshot reporting — Meetings ended with teams capturing pipeline screenshots or exported reports to share with the CRO and CEO.
  • Limited historical tracking — Comparing current forecasts with prior weeks required manual reconciliation, making it difficult to identify forecast movements, pipeline risk, or sales execution trends.
  • Overly complex reports — The pipeline report contained over 100 columns, but each functional team needed only a subset of fields, making navigation slow and cumbersome during live meetings.

The solution

The company implemented a Sales Pipeline Collaboration and Forecast Review application using Incorta's interactive analytics capabilities combined with the Incorta Workflow Writeback App. The solution combines real-time CRM data with collaborative forecast adjustments, enabling multiple teams to work within the same analytical environment simultaneously.
